Assistant Administrative Director, Vocal Arts

Responsibilities
- Coordinate logistics of special events for the department: Work closely with the Artistic and Administrative Directors in overseeing logistical preparation for concerts, special programs and master classes, including securing venue, collecting repertoire, student and faculty notification, piano tuning, recording, etc.
- Coordinate ticket distribution for all ticketed performances
- Communicate information on upcoming Vocal Arts events to faculty, staff and students
- Maintain and update events to the Vocal Arts Departmental Master Calendar
- Monitor casting auditions for Vocal Arts activities
- Work closely with the Administrative Director to address faculty, staff and student concerns
- Attend weekly Vocal Arts Staff meetings and report on issues
- Serve as Office Manager, including overseeing the day-to-day office environment
- Work closely with Administrative Director to manage invoices and check requests for the department; oversee these budgets and maintain excel spread sheets to track this activity
- Serve as liaison with guest faculty and guest artists; oversee guest faculty policies and procedures with regard to hiring, compensation, housing
- Oversee work study: hiring, scheduling, payroll, work assignments
- Manage the Vocal Arts e-mail account
- Oversee the maintenance of audition/competition files and board
- Create, organize and maintain student files as necessary
- Assist in and collaborate with all aspects of creating, posting and distributing the Vocal Arts coaching weekly schedule
- Field faculty and student scheduling concerns
- Assist in initial confirmation of students schedules at the beginning of each semester — meet with each student to confirm schedules, collect additional schedule information and/or updates
- Assist with the tracking of canceled and missed coachings for students, faculty and staff and follow up in accordance with departmental policies
- Assist with reception and administrative support for the Vocal Arts office
- Assist faculty with a variety of administrative and office needs
- Create and distribute Opera Studies class rosters to Opera Studies faculty; prepare and distribute Juilliard Opera Center faculty Opera Studies grade report forms at end of each semester
- Oversee the researching and compilation of information on alumni of vocal arts
Qualifications
- Bachelor’s Degree
- Excellent organization skills
- Ability to work well under pressure and to meet deadlines
- Ability to interact and communicate well with diverse artists and the public
- Interest in and facility with event planning
- Knowledge of vocal music and repertoire
- Ability to work well as a member of a team
- Detail oriented
- Excellent computer skills including Word and Excel
- Excellent writing skills
- Experience in music performing arts education and/or administration
- Some experience working with budgets helpful
