Pittsburgh Opera, Inc., a Level II member of OPERA America and a constituent organization of the Pittsburgh Cultural Trust, is seeking qualified applicants for the position of Special Events Manager
. The Special Events Manager reports directly to the Director of Development and External Relations and is an integral part of the opera company’s five person development staff. This individual is responsible for managing and advancing a portfolio that includes three large-scale galas and special events related to Pittsburgh Opera’s auxiliary volunteer organization, Friends of Pittsburgh Opera. The Special Events Manager also works with the Director of Development and External Relations to secure event sponsorship from corporations and individuals. The total value of this portfolio is approximately $1 million.
Job responsibilities of the Special Events Manager includes:
- Special Events: Plan, produce and execute three major gala dinners throughout the season generating approximately $800,000 for the company. Work with leadership staff and volunteer chairs/committee members to sell sponsorships, tables and tickets; secure auction items/auctioneer/entertainment; expand prospect lists and mining data; manage print production and direct mail projects; acknowledge all gifts, purchases and contributions and recording all income and expenses.
- Event Sponsorships: Work with the Director of Development and External Relations to secure event sponsorships from corporations and individuals through timely and appropriate solicitations; researching, identifying, cultivating and soliciting new/lapsed relationships; coordinating requests with the Development team; and providing appropriate benefits and timely acknowledgments and/or reports.
- Friends of Pittsburgh Opera: Work with volunteer chairs and leadership staff to plan and execute smaller fundraising events involving Friends of Pittsburgh Opera generating $30,000 annually. Responsibilities range from developing concepts to coordinating event logistics to timely acknowledgments.
- Cultivation Events: Work with the Associate Director of Development and the Individual Giving staff to coordinate event logistics for cultivation events involving individual donors and prospects.
The ideal candidate will have two or more years of experience in development and/or nonprofit management and a record of increasing the ROI of corporate campaigns or special events. Experience managing special events, fulfilling sponsorships, organizing successful auctions and running a corporate annual fund are important to the position. Familiarity with opera/classical music is preferred, but not required. Superior written and verbal communication, organization and time management skills are essential, as is the ability to manage multiple tasks independently and to thrive in an open office environment.
The successful candidate should have experience with computer software for customer relationship management, data analysis, proposal/presentation creation and project management. Tools used at Pittsburgh Opera include Tessitura, T-Stats, Blackbaud ResearchPoint and Microsoft Outlook, Work, Excel and PowerPoint. Candidates must be available to work frequent nights and weekends; be responsible, mature, and team-oriented; and have a valid drivers’ license. A personal vehicle is helpful, but not essential.
