Schedule and Program Coordinator, Vocal Arts

This position works closely with and reports to the Director, Curriculum and Schedules, and is responsible for building individual weekly Vocal Arts schedules for every constituent of the department.

Responsibilities:

  • Coordinate, execute and distribute the weekly Vocal Arts schedule for all departmental activities including but not limited to operas, performances, scenes programs, coachings, rehearsals, fittings, meetings and tutorials
  • Build the individualized weekly schedules for over one hundred members of the Vocal Arts community by fielding requests from constituents and responding to department needs and priorities
  • Work with colleagues to execute schedule-related elements of productions and artistic projects including opera productions, showcases, scenes programs, residencies, and recital series.  Assist with schedule-related planning of such projects as appropriate
  • Manage correspondence with all department constituents (including faculty, staff, students, guest artists and artistic teams) to ensure effective communication regarding schedule-related requests and issues
  • Assist with data analysis and tracking of schedule information to generate monthly schedule reports
  • Coordinate internal and external room requests, ensuring guests have access to spaces as appropriate
  • Field general faculty, student and interdepartmental issues addressing questions and concerns when appropriate
  • Manage and update Vocal Arts contact information including departmental contact lists, e-mail distribution lists for current students, alumni and faculty
  • Serve as primary liaison with Office of the Registrar, IT, and Arts Vision staff to maintain and update student academic schedules and Arts Vision program as needed
  • Assist with integrated weekly schedules of shared Met artists and other aspects of the collaboration with the Lindemann Young Artist Development Program
  • Assist with project-specific release calendars and department-wide release requests of faculty, guest artists and students as appropriate
  • Provide general administrative support for all Vocal Arts staff, including photocopying, filing, score acquisition, office management, project and event management, and other tasks as assigned

Qualifications:

  • Bachelor’s degree and at least one year of professional experience in an arts organization or higher education institution
  • Proficiency in Microsoft Office, including Word, Excel, Power Point, and Outlook
  • Must exercise excellent judgment, discretion and integrity under stressful circumstances
  • Ability to interact and communicate well with people of various backgrounds
  • Strong written and verbal skills
  • A positive and friendly attitude
  • Must enjoy solving puzzles and finding creative solutions to complex issues
  • Ability to manage multiple projects simultaneously in very busy environment
  • Ability to work well as a member of a team in a very collaborative environment
  • Detail oriented
  • Must be able to read a music score
