General description: As a member of the Development Department, the assistant is an integral member of the fundraising team, and works directly with staff, Board members, and donors.

 RESPONSIBILITIES

  • Solicitation – Work closely with Director of External Affairs to manage portfolio of donors  and board members; assign tasks and monitor solicitation progress; track all moves in Tessitura; draft solicitation letters, consortium proposals, donor correspondence and acknowledgments; prepare briefing memos for key solicitors (management and board).
  • Board Activities – Provide support for Development, Nominating, Planned Giving and Campaign Committees;  draft agendas, compile support materials, construct fundraising reports,  record committee meeting minutes, prepare board materials; provide strategic support for volunteer solicitors; coordinate and facilitate Board engagement trips; send contribution reports to Board Chairman and President; attend Board events.
  • Campaign Planning – Work closely with Director of External Affairs on all campaign related activities; maintain donor signage project; coordinate events and on-going cultivation activities; provide backstage tours; design and print campaign literature and support materials; support planned giving initiatives, seat naming campaigns, etc
  • Special Events – Work closely with Director of External Affairs and Special Events staff for event organization (e.g. campaign-related cultivation events, strategic partnership events in other cities, etc.); prepare remarks for speakers; attend events and performances.
  • Tessitura and Technical Support – Maintain accurate donor records, lists, plans, constituency codes, and reports in Tessitura (viz. annual fundraising reports); Act as departmental liaison with the Tessitura Network and the IT department; continuously develop expertise in using the Tessitura database and T-Stats for all fundraising needs; Assist members of the department with technical  needs (e.g. Paperless Post).
  • Stewardship – Work with department solicitors to ensure that major donors receive exceptional stewardship through recognition opportunities, backstage visits, photographs, regular and meaningful communications, etc. Work in Opera Club on select performance evenings.
  • Budgeting – Manage the department’s budgeting process and set up real-time projections based on individual solicitations; maintain departmental expense budgets; coordinate quarterly projection review meetings.
  • Departmental Support – Provide general support for the Director of External Affairs in scheduling departmental meetings, one-on-one meetings with staff, and staff reviews and retreats; manage  departmental and inter-departmental communications; act as liaison between all other departments (e.g. Marketing: Program Book, Website; HR: New employee setup); organize and participate in professional development opportunities; provide general administrative duties.

  ESSENTIAL JOB REQUIREMENTS

Undergraduate degree and 1 to 2 years of administrative or fundraising experience required.

Must have excellent interpersonal communication skills, exemplary phone manners, demonstrated organizational ability, and an eye for detail with the ability to manage multiple projects. Excellent computer skills with a strong knowledge of Microsoft Office is required; a working knowledge of Tessitura is preferred. Flexible schedule and ability to attend SFO-related events on evenings and weekends is required.
