DESCRIPTION

Position:             Artistic Operations Coordinator (full-time, exempt)

Department:      Artistic

Supervisor:         Director of Artistic Operations

Compensation:   $45k-$50k (DOE) + benefits; relocation stipend negotiable

Job Description:

Working alongside the Director of Artistic Operations to provide overall support to the Artistic Department. The Artistic Operations Coordinator will take the lead on planning, procuring, and executing all necessary plans for housing, travel, and touring as well as act as a primary, direct contact for all Artists.

Job Responsibilities:

  • Procure and maintain housing for visiting contracts, including mainstage Artists, Directors, Designers, etc.

  • Serve as a primary point of contact for visiting artists and additional/secondary point of contact for Artist Agents (as directed), chorus, supers, and others as needed.

  • Plan and communicate travel and housing logistics for all visiting contracts.

  • Plan and effectively communicate touring needs for the company, including travel, housing, and per-diem allotments for sometimes up to 100+ people at a time.

  • Travel with company and transport artists (as needed) on tour.

  • Plan and execute company opening weekend parties, as well as the point of contact for Guild tech dinner.

  • Develop and maintain good working relationships with outside vendors and service providers.

  • Field phone calls, emails, and texts promptly (occasionally after-hours).

  • Support and assist visiting artists with various needs that can arise throughout the contract period.

  • Assist in ensuring that contractual obligations to visiting artists/individuals are met and fulfilled.

  • Provide administrative support to performances/Artistic Department as needed, including drafting contracts and tracking contract materials.

  • Under the supervision of Director of Artistic Operations, maintain, track, and plan housing, travel, and touring budget (and to a lesser extent, the Artistic budget) and assist with future Artistic budget planning.

  • Assist in providing logistical support for the Herndon Foundation Emerging Artists Program.

  • Coordinate and manage per diem calculations for artists, crew, and staff.

  • Process payments and reimbursements related to artistic operations; ensuring accuracy and timeliness.

  • Must be willing and able to perform all other job duties and assignments as assigned by management.

 

Qualifications:

  • Previous experience in Company Management, Stage Management, or Arts Administration

  • Excellent communication skills (written and verbal)

  • Intermediate or Advanced working knowledge of Microsoft Office programs (esp. Outlook, Word, and Excel)

  • Ability to systematically track and organize information

  • Some experience with budgets is a plus

  • Must have valid driver’s license and reliable transportation; ability to drive Company transit van (or willingness to learn)

  • Ability to work flexible hours, including some nights and weekends; some travel and nights away from home (within Virginia) required
