Position Overview
The Executive Assistant to the Artistic & General Director and Board Liaison provides direct administrative and clerical support to the Artistic & General Director and serves as the primary liaison to the Board of Trustees. This position plays a key role in maintaining smooth daily operations for the Director’s office, supporting goals of the development department, ensuring effective communication, coordination, and record keeping between leadership, staff, and the Board.
The role requires strong organizational skills, attention to detail, and discretion when handling sensitive and confidential information.
This position will report to the Artistic & General Director, while also working closely with the Director of Development. The successful candidate will be required to work in-person for 6 days per week, in Cooperstown, NY from June to August. During the off-season, September - May, this role is expected to report to the Glimmerglass offices on a regular basis, and make periodic trips to New York City (3-5 annually). Some remote work (1-2 days/week) is possible, to be scheduled upon mutual agreement with the Artistic & General Director.
Key Responsibilities
Administrative Support to the Artistic & General Director
Manage the Artistic & General Director’s calendar, schedule meetings, and coordinate appointments.
Prepare and edit correspondence, reports, and presentation materials.
Organize travel arrangements, reimbursements, and itineraries.
Assist with mail, phone calls, filing, and general office organization.
Coordinate internal communications and follow-ups with department heads and staff.
Support preparation of meeting materials and briefings for internal and external engagements.
Board Liaison Duties
Serve as the primary point of contact for the Board of Trustees.
Coordinate all aspects of Board meetings, including scheduling, hospitality, agenda development, material preparation, and minute-taking.
Prepare meeting reports and presentations with the input of committee chairs and staff presenters.
Maintain accurate and up-to-date board and committee meeting calendar, contact lists, records, and governance documents.
Assist with logistics for Board events, retreats, and committee meetings.
Ensure timely communication between the Artistic & General Director, Board Chair, and committee members.
Send Trustee communications such as updates from the Artistic & General Director, meeting notices, minutes for approval, and any relevant materials for upcoming meetings.
Support compliance with governance and policy requirements as directed.
Development Department and Organizational Support
Assist with clerical tasks such as sorting mail, filing documents, copying, and maintaining supplies.
Become fluent in the use of the company’s Customer Relationship Management system (Salesforce/Patron Manager), aligning its resources with development goals and processes; this fluency is to benefit the management of the development department.
Collaborates with four full-time development staff to facilitate strategic recommendations in order to advance all systems and practices associated with the position and the department’s goals.
With department colleagues, collaborates on the development and implementation of an annual Communications, Engagement and Solicitation Plan to achieve the contributed income goals, along with goals for defined capital efforts and growth in planned gifts.
Participates in all department meetings.
Support special projects and events as assigned.
Qualifications
Minimum of 2–3 years of administrative experience; experience in a nonprofit or arts organization preferred.
Strong organizational, time management, and multitasking abilities.
Excellent written and verbal communication skills.
Ability to multi-task, prioritize, and problem-solve to meet deadlines in a fast-paced work environment
Proficiency in Microsoft Office Suite and Google Workspace; experience with at least one donor database (Salesforce/Patron Manager preferred) a plus.
Professional discretion in handling confidential and sensitive information.
Ability to work independently, anticipate needs, and adapt to shifting priorities.
Capacity to work well in teams and collaborate across internal departments/teams
Should be available to work evenings and weekends, as required
